How to Import Data from ProbiData into Your CRM


  1. Search and Download Data


  • Perform a search in ProbateData:


  • Select the state, county, and date range (e.g., August).
  • Use filters to include only available cases with phone numbers and email addresses.
  • Select all results and download the data as a CSV file.
  • Alternatively, use the CSV file sent via lead emails.
  1. Prepare the CSV File


  • Open the downloaded CSV file in a spreadsheet application (e.g., Excel or Google Sheets).
  • Save the file as an Excel workbook for easier editing (e.g., “Los Angeles August 2023 Raw File”).
  1. Review and Organize Data


  • Examine the header row (field names) and determine which fields your CRM requires.
  • Keep essential fields like:


  • Case Number
  • Property Address, City, State, and Zip Code
  • Petitioner Name, Address, City, State, Zip Code, Phone Number, and Email Address
  • Remove or ignore irrelevant fields, such as attorney details, bonds, or the deceased’s date of passing.
  1. Rename Headers to Match Your CRM


  • Update the header names to match the required fields in your CRM. For example:


  • “Address of Deceased” → “Property Address”
  • “City of Deceased” → “Property City”
  • “Name of Deceased” (if needed for reference) → Map it to a separate field.
  1. Import the Data into Your CRM


  • Log in to your CRM (e.g., Top Producer, Wise Agent).
  • Follow the CRM’s import process:


  • Upload the file.
  • Map the spreadsheet fields to the corresponding CRM fields (e.g., “Petitioner Email” to “Contact Email”).
  • Skip fields that are not required.

  • Contact your CRM provider for help or consult their import guides/templates for specific instructions.
  • Most CRMs provide tools to make the mapping and import process straightforward.
